Integrating AI Scribe into the Frailty Team

At the Jean Bishop Integrated Care Centre, which is run by City Health Care Partnership, the team has introduced an AI scribe, Heidi, developed by Heidi Health, to make their documentation process faster and better and to support them in providing proactive and reactive care closer to home for people living with frailty. This has been an exciting journey into a new and innovative technology.

Dr Andrew Noble, a doctor working at the Centre, explains how the project started. “Back in August 2024 we decided to test Heidi with a small group of our team members: GPs, consultants, advanced nurse practitioners, physiotherapists, occupational therapists and specialist community practitioners. This initial phase was important to see if Heidi could fit into our workflows and help us out.  This was only possible after the organisation went through the proper checks around new technology and AI, indeed a whole new AI policy was written to inform the project.

“We learned lots from the pilot programme, and with that feedback, we created a training programme for everyone. The guys at Heidi Health helped us out with detailed guidance on how to use the AI scribe effectively. We focused on things like logging in, getting patient consent, and recording AI scribing in a way that we can track.

“We even tailored some templates to fit our specific needs, making sure Heidi's output was relevant and easy to add to our electronic patient records. Plus, we made sure the team knew how to spot and fix any errors the AI might make – no errors in patient notes for us!”

After the training, the team slowly introduced Heidi to all the clinicians, keeping an eye on things and gathering feedback to make sure everything was running smoothly. They quickly got the hang of it, and now Heidi is a valuable part of their daily routines.

Heidi has made a huge difference for the service. They’re now entering phase 2 and already seeing some benefits:

- Increased productivity: With the time saved by using Heidi, the team may be able to see about 180 more patients a year.

- Protected time for education and training: the extra time gained is being used for a structured training programme, boosting skills and improving patient care.

- Improved note quality: documentation is now clearer and more precise, with fewer abbreviations and spelling errors. This directly enhances patient care.

- enhanced staff wellbeing: with less admin work, job satisfaction has improved and staff wellbeing is better. Plus, they have more thinking time!

Dr Noble says, “This journey with Heidi AI Scribe has been a revelation for the Frailty Team at the Jean Bishop Centre. By embracing this innovative technology, we've optimised our resources and empowered our clinicians and entire multidisciplinary team. The positive feedback from both staff and patients shows just how valuable this project has been.
